The Full Picture

Seven Stages, One Accountable Team

From the first conversation to the last dance — tap any phase to read the full breakdown.

01

The Onboarding Conversation

Before a single call is made, we sit with you and understand what this wedding truly means — your vision, your family dynamics, the scale you're imagining. Nothing moves until we have a clear, shared picture.

02

Understanding Your Budget

You give us one number. We break it into four headers, so every rupee has a home before a single call is made — and so we negotiate on your behalf with real numbers, not guesses.

03

Venue Hunt — Exhaustive, Not Limited

A comprehensive outreach across every relevant property, partner or otherwise. Every property that reaches you has already passed four filters — including whether you actually love it.

04

The Negotiation Playbook

We push the venue's quote as far as it will go before it ever reaches you — then deliberately leave 2% on the table, so the final win belongs to you.

05

Vendor Selection — Curated, Not Random

Category by category, we present pre-vetted choices within your budget. If nothing feels right, we return with a fresh set — as many rounds as it takes.

06

Contracts & Everything In Between

Once a vendor is chosen, we manage every contract, deliverable, payment and milestone. You will never have to chase, confirm or follow up.

07

Your Wedding Day

Every vendor briefed, every timeline confirmed. Our team runs the day end to end so your only job is to be present.

From the first conversation to the last dance — you will never have to wonder what happens next.

Phase 01 · Where It Begins

The Onboarding Conversation

Before a single call is made or a single property is scouted, we sit with you. This conversation is the foundation on which every decision that follows is built.

You come to us. We listen — not to gather information, but to understand. Your vision, your family dynamics, your aesthetic sensibility, the scale you are imagining, the parts that matter most to you and the parts you are willing to flex on. All of it.

This is not a form-filling exercise. It is a real conversation, and it is the most important one we will have. Everything that follows — every negotiation, every vendor choice, every decision we make on your behalf — flows from what we learn here.

What we understand in this conversation

V

Your Vision

Intimate or grand, traditional or contemporary

P

Your People

Guest count, family stakeholders, dynamics

P

Your Priorities

What you will not compromise on

F

Your Flexibility

Where you're willing to move, and where not

Why this conversation changes everything

When we walk into a venue negotiation or sit across from a vendor, we are not representing a brief on a piece of paper. We are representing you — specifically. We know what you want, what you will not settle for, and what you are open to.

Nothing moves until this is complete. That is not a delay — it is the entire point.

We do not plan weddings in general. We plan yours, specifically.

Phase 02 · Financial Clarity

Understanding Your Budget

You give us one number. We turn it into a plan — broken across four headers so every rupee has a home before a single call is made.

The first thing we do after onboarding is not search for a venue. It is understand your money — precisely and honestly. This breakdown also gives us the guardrails to hold: when a venue tries to upsell, or a vendor pushes over budget, we know exactly what we can and cannot accommodate.

50–55%

Venue

Room block, banquet space or lawn, and all food. Not included: alcohol, bar setup.

20%

Décor

The one category with no natural ceiling — twenty percent is the guardrail we hold firmly.

25%

Vendors

Everyone else — photography, makeup, entertainment, hospitality and our planning fee.

"We treat your money with the same care we'd treat our own."

The 50–55 / 20 / 25 split is a thumb rule — we adjust it around what matters most to you.

Every rupee has a home before we make a single call.

Phase 03 · The Search

The Venue Hunt — Exhaustive, Not Limited

With budget headers set, your dates confirmed, and your location preference in hand, we begin a search that does not stop until every option has been explored.

First Call

Partner Properties

Properties we have an existing relationship with get reached first — faster responses, better negotiating leverage, a direct line to decision-makers.

Every Other Option

Non-Partner Properties

If a property fits your vision, we reach out regardless of whether we've worked with them before. No venue is ruled out for our convenience.

What you receive is a shortlist — not a dump of options. Every property on it has already been tested against your budget, your dates, and your location preference.

The four filters — no exceptions

01

Budget

Within range, or negotiable there

02

Dates

Confirmed available, not tentative

03

Availability

Genuinely open to hosting your event

04

You Love It

The filter that matters most

Why exhaustive matters

A limited search protects the planner's time. An exhaustive search protects your outcome. We run the exhaustive one — every time — because you deserve to know the option you chose was genuinely the best one available.

You are choosing the best — not filtering through the rest.

Phase 04 · Closing The Deal

The Negotiation Playbook

Once a venue is shortlisted, we do not hand you their first offer. We go back — and we push — before anything reaches you.

This is where the work most clients never see happens. Every negotiation follows the same sequence — so nothing is left on the table by accident, and the 2% we do leave is left very much on purpose.

01

We push on every line item

Room rates, food per cover, setup costs, overtime charges — we push back on every element that has room to move.

02

We bundle where we can

Often the best negotiation isn't a lower rate — it's a bundled offer. Extra rooms, a waived corkage fee, an upgraded suite.

03

We bring the final quote

A real final number — not an inflated starting point with room for you to bargain. The hard work is already done.

04

You close, with room to win

We intentionally leave 2% on the table — a real window so the final win belongs to you.

What we push on in every negotiation

01

Room Rates

Block size, complimentary rooms, upgrade eligibility

02

Food Per Cover

Rate, minimum guarantee, buffet vs. plated pricing

03

Space & Setup

Exclusivity, setup access, breakdown timelines

04

Add-Ons

Corkage, power backup, parking, vendor restrictions

05

Complimentary Inclusions

Welcome amenities, suite upgrade, team stay

06

Payment Terms

Deposits, instalments, cancellation policy

You only get to see the number after we are through with multiple rounds of negotiations. So you sit at the table just once, to close.

Phase 05 · Building Your Day

Vendor Selection — Curated, Not Random

With the venue locked, we turn to every other element of your wedding. Category by category. Curated choices. Your decision — at every step.

Every vendor we present has been through our assessment — we know their work, their reliability, their communication, and their capacity. A recommendation from us is a considered one.

01

We present a curated set

Options within budget, available on your dates, meeting our quality standard.

02

You choose — or give feedback

If something resonates, we close it. If not, you tell us why — the aesthetic, the pricing, the style.

03 ↻ Feedback loop — as many rounds as it takes

We return with a fresh set

The cycle continues — however many rounds it requires — until you are genuinely happy.

04

Vendor chosen — we take over

You will not need to follow up, negotiate, or manage anything from here.

Our principle on vendor selection

If we don't trust their work, they do not make the list.

No pressure. No settling. The right choice, at every category.

Phase 06 · The Paperwork You Never Touch

Contracts, Milestones & Everything In Between

Once a vendor is chosen, you will never have to chase, confirm, or follow up. Every agreement, every payment, every milestone — managed by us.

Without exception. Whether it is the photographer or the safa wala, the bar setup or the special effects team — every vendor is managed the same way.

6a · Contract Management

Every Commitment, In Writing

No handshake deals that become disputes later.

  • Scope of work clearly defined for every vendor agreement
  • What has been promised, and what has been paid for
  • Us as the accountable party if either side does not deliver

6b · Deliverables Defined

No Ambiguity, Ever

Ambiguity is what causes problems at weddings.

  • Shot lists, song sets, quantities documented in advance
  • Setup and breakdown timelines fixed for every vendor
  • Nothing left to interpretation on the day itself

6c · Payment Schedules

We Watch Every Date

A missed payment never happens on our watch.

  • Deposit, mid-point instalment and final payment tracked
  • Reminders sent with enough lead time to stay comfortable
  • No vendor de-prioritises your wedding over a missed instalment

6d · Milestone Tracking

Checked In, Every Step

Nothing is left to chance in the weeks before your wedding.

  • Mood-board approvals, trials and rehearsals tracked
  • Pre-wedding briefing calls with every vendor, run by us
  • If a vendor falls behind, we know early enough to act

Things you will never have to do

Chase a Vendor

Confirmations, updates, trials, logistics — we do all of it.

Track a Payment

We monitor every instalment and send reminders before each due date.

Wonder What Was Agreed

Every deliverable is documented, and you can check any time.

Manage a Dispute

If a vendor falls short, we address it — you stay out of it entirely.

Coordinate with your Vendors

Just one introduction with your vendors, and we take care of the rest.

Worry About the Lead-Up

The weeks before your wedding should be exciting, not stressful.

From signature to wedding day — without exception.

Phase 07 · The Day Itself

Your Wedding Day

Every vendor briefed. Every timeline confirmed. Every contingency considered. Now we bring it all together — and you celebrate.

We run the event. You live it.

Our team and coordinators are on the ground from the first setup call to the last goodbye. Every vendor is being tracked in real time. If something needs to shift, we shift it — quietly, quickly, and without involving you.

Your family does not manage anything. The Saffron Collective team holds the room so every single person who matters to you can simply be present.

On-Ground Team

Dedicated coordinators at every function, from setup to close.

Vendor Management

Every vendor briefed, tracked and held to their commitments.

Stakeholder Handling

Family, guests, venue staff — one point of contact for all.

What our team is managing while you celebrate

AM

Pre-Dawn Setup

On-site before any vendor arrives — décor, sound, lighting confirmed before the family is even awake.

AM

Getting-Ready Coordination

Makeup, hair and photography on schedule. The family is kept informed, not involved.

PM

Live Event Management

A coordinator at each function manages entries, rituals, the MC and DJ, and food service timing.

PM

Problem Resolution — Invisibly

We handle every issue before it becomes visible — and before it reaches you or your family.

PM

Breakdown & Sign-Off

Vendors clear out on schedule, items are collected, a final check runs with the venue.

The division of responsibility

Your Role

Be Present. Celebrate.

Get ready. Walk in. Dance. Eat. Laugh. Hug the people you love. Experience every moment of a day you have been planning — and we have been building — for months.

That is the only thing on your list.

Our Role

Run Everything Else.

Vendors. Timelines. Guest management. Venue coordination. Problem resolution. Briefings. Cues. Signoffs. Setup. Breakdown.

Without exception.

Your only job on your wedding day is to be present. We handle absolutely everything else.
